5 Steps to Throwing the Best Event Ever

Everybody envisions about throwing the perfect event.  You want everything to run smoothly and make sure it’s the one event that everyone talks about before, during, and after the event takes place.  Recently I spoke to a good friend of mines and we talked about how he wanted to put on a throw an album release party.  We both agreed that most album release parties aren’t done the right way, but then again most events aren’t.  It’s not hard to put on a good event, but it does take a bit of effort.  Effort that many people aren’t really willing to put on.

So how do you host a great event?  There are a couple of key steps that you must take to make it happen:

Determine Your Goals

Before you start, you need to know what you want to happen before you start to pull anything. What is it that you want to achieve?  If you’re planning an event like an album party or a conference, your most important goal is probably to breakeven.  Of course we want to make money, but the first priority is to not lose it.  After that you may go into other goals like: what kind of feedback do I want?  What kind of results do you want to see?  Clearly define what it is you want and that will point you in the right direction as to what you’ll need to do next

Assemble a Motivated Team

You can put on an event by yourself. But it’s almost impossible to put on a GREAT one alone.  You need a group of people that are willing to buy into your vision enough to make the sacrifices necessary to make the event a reality.  The most important word to remember however is motivated.  Make sure you that you have a sit down and understand how much you are getting from someone and not setting yourself up for disappointment once people don’t show when you expected them to.

Know Your Audience

Please don’t be the person that says “my event is everybody”. While you won’t turn away at the door, reality is not everyone will want to come to your event; and that’s okay.  Knowing your audience is all about clarifying who will want to come to your event and doing everything in your power to make sure they know.  Are you hosting a conference for millennials?  Stick to social media and internet forms of advertisements. How about starting a bookkeeping businesses for small local businesses?  Well maybe printing out flyers, local newspapers and magazines might work better.  Make a plan and call an audible if necessary.

Envision The Experience

This is one of the best pieces of advice I’ve ever received. I can’t really remember from where, but it’s the most powerful tools you can use.  Let’s say you’re putting on a spoken word night for example, sit down and imagine being the attendee instead of the planner.  With the way you have everything planned so far, did you have a good time?  Did you really get a chance to learn/have fun/meet new people, or were there something’s that you feel could have been done a lot better?  If there were, you need to make sure that you get it tightened up beforehand.  If there weren’t, you only have one more thing left to do to take your event from good to great!

Carry the experience beyond the Event

So you’ve had the event, now what? A great event is not only a great experience while it’s going on at the time, but it’s also going on after as well.  The main key to keeping the event going is: the people.  You want to build “a community” that keep the buzz about the event going long after it ends.  This is why your event HAS TO HAVE a hashtag.  This gives everyone the opportunity to reminisce on what happened and also gives them the ability to share with other people what happened not through your lens (it’s assumed you’ll try to present it in the best light), but through that of actual people that attended and had a great time.  Always remember the best form of promotion isn’t a flyer or a website, it’s the testimonials of the people that attend.

My Five Productivity Apps as of Right Now

Apps are just about a way of life right now.  And just like a lot of things in life, we can either use them to our advantage of to our disadvantage.  Here are five of the apps that help peak my productivity all the time: 


I’ve been on the Evernote bandwagon as long as I can remember.  The interface it’s self is so easy to use, I promise you’ll be hooked the second you get it.  I’ve used both the standard Android and Apple note taking apps; they’re nice and all but they really don’t stand a chance against the power of Evernote.  In addition to being able to sync across both Android and Apple products products, you can take attach audio, pictures, set reminders, and even hand written notes.  I am also fond of the fact that it allows you to share notebooks with others.  Because I am always sharing ideas with the people that I am working with sharing notes is a big deal to me.  Evernote makes that easy.  It allows you to make public and private links for your sharing pleasure.  The best thing of all? That’s all free. There is a premium price that comes with even more features.  But the free version is doing me justice right now.


As a musician, I NEED MUSIC IN MY LIFE.  I love spiffy because they basically have everything I could want.  They just about any song you could possibly want, and they have the new releases as quick as you can get them. The regular subscription price is 9.99 a month but I’m currently taking advantage of the student discount rate of 4.99


The more projects you do, the more you’ll realize you can’t do by yourself.  Fiver has became my go-to place for just about …. Anything.  They really do just about anything you can imagine, for the low starting price of $5.  You need a flyer? They got it.  Need a video testimonial? They got it? You want a fresh & creative resume design? They got it. You have a track that you made you want mixed and mastered they got it.

Lynda (Lynda.com App)

Here at the kaizen project, we are advocates for fine tuning your skills.  In order to make your mark on the world, you have to be good at something.  In the past year, I’ve taken the initiative to improve my skills win technology.  Lynda.com offers courses in mobile app and web page development.   I’ve also been taking courses on software such as WordPress and Photoshop.  You never know when the information you learn will come in handy.  Investing in yourself is crucial; Lynda.com is definitely the way to go. 


Trellis is the ultimate project management app.  The layout of the app makes it easy to plan out the next big thing.  I’m a very visual person, so I love how with the app you can break down the big ideas into small ones, into different categories, into a to-do list, and you can also set reminders.   It’s great for group collaboration as well, you can link your project with different people and like Evernote you can easily share it with anyone!

Thought of the Day: The Philosophy of “Quality”

As a leader,  learn to adopt the philosophy of quality.  One of the most important and frequent decisions you’ll have to make is the choice of quality vs. quantity.  We choose the level of quality we will experience in life.  Now don’t think for a second that I’m only speaking in regards to materialistic things such as clothes, houses, or cars.  This philosophy has more to do with the intangibles such as education, support, and motivation.  However, this is also not to say you shouldn’t prioritize upgrading the level of quality in the material as needed.  Let me repeat this one few more times.

This concept isn’t actually about the materialistic, most people have that down already.  However, the intangibles… not so much.  Where people take the time to invest their money in buying bigger houses; it’s mind boggling to think about how many people fail to invest time in their marriages.  While people are ecstatic with the idea of dropping their hand-me-downs for the newest name brands, it’s strange to see how they can’t stand the idea of dropping their drag-me-down friends for the ones the push you further towards your goals.  Again, this isn’t to bash upgrading what you buy, but if you aren’t, it’s a “what’s the point” type of situation right?

Happy New Year!!

With the start of the new year, I know it’s an exciting time and we’re all ready to hit start and attack 2018 for all it’s got.  You and probably 108% of the world have at least a couple of new year resolutions that you want to achieve this year.  And with the year just starting, you’re probably as motivated as ever to make sure it happens right?  That’s not a problem,

Make it Action Oriented

The first step to making sure you actually define your goal and make it happen is by making it clear and actionable. Really ask yourself, “what do I want?”  Don’t make it vague, you need to have an idea of when you’ve finally achieved.  Let’s leave the goals no with no endpoint in 2017.  Instead of saying “I want to get in shape”, say “I want to run a 5k marathon in November”.  Since you have to be in shape to run a 5k marathon, you know that if you can run the marathon you’ve achieved it.  After you specify the goal, create the action plan. What are you going to do to make it happen?  What benchmarks do you need to hit to let you know you’re on the right track?  If you’re running a marathon for example, you might want to ask yourself, “what exercises do you I need to do?” or you run a 3k in May to see how you’re improving

Stay Accountable

Define your why for chasing a goal.  Accountability is generally used in the instance of having others keep you grounded in your goal and keeping you motivated to achieve your goals/objectives. However, that doesn’t mean we should keep ourselves in check as well.  One of the best ways to keep a goal in your head is to define your “why”.  Assigning your goal a purpose increases the importance of getting it accomplished.  If you have friends or mentors that wish to see your succeed, then you should tap into that! Have a sit down with your accountability partner, and full explain to them your goal, objective, and benchmarks. Ask them to check in with you to make sure that you stay on track.  I think it’s easy to let ourselves down but let others down is a completely different story.

Hey family! Sorry for the hiatus I’ve been working on a lot of new projects and a lot of work that’s been keeping me fairly busy.  But I’m back, and hopefully I’m back for good.

I’m blessed to have a circle of people that love to talk about goals and the things that they want to accomplish.  What are your goals?  What are the things you’re willing to go the extra mile to get accomplished?  I love to hear about other people’s goals and ambitions, but the one thing I notice is that most of the time when I hear a goal, they lack structure & clarity.  They are usually vague, have no clear endpoint, time frame or a combination of three.  This sense of false clarity makes it impossible to get anything done because 1.) it isn’t specific (Ex: I want to lose weight) or 2.) It doesn’t specific when exactly the goal has been accomplished (I want to be a better public speaker).

If your goals are like this, there’s an useful acronym I’d like to introduce to you.  Following these simple guidelines will instantly evolve your goals from basic to SMART.


  • Specific – Make your goal specific and make what you want to do crystal clear
  • Measurable – This goal should a have a tangible endpoint
  • Attainable – While you do want your goals to force you to stretch, you should still be able to actually achieve them
  • Results-Oriented – Your goal should measure an outcome, not an activity
  • Time-Bound –Your goal should have a specific date to create a sense of urgency

Following these guidelines make your goals more defined and specific; and this will make them to focus on.  Having a better idea of what exactly you want and need to do, makes it easier on the mind to focus on the things that do matter and to remove the things that don’t.

How to Learn a New Skill

What’s something you’ve always wanted to do?  Ever been interested in learning how to play piano, how to snowboard, or how to deliver a great speech? These things to do take time, but they may not take as much time as you think.  In order to grow, you need to continually update your skill.  Overtime, you need to be constantly updating your skills so you remain valuable while the times change.  At first glance, learning a new skill looks daunting and seems like it will take a lot of work that you may not feel like investing. But by breaking it down to three smaller steps, you’ll see that it may not be as hard as you once thought.


Get Over the Mental Hump

Before even attempting to learn a new skill, or trying to adopt a lifestyle of just learning new things you need to have the proper mindset first.  The first thing you need to understand and fully accept is that learning a new skill is not easy.  In fact, it can be very challenging. But you have to accept and take it on straight on.  One of the best things you can do is pre-commit.  Mentally commit yourself to dedicating however much time it takes to learn the skill.  If you go in with a “dabbler’s mindset”, you’ll always seek the easy way, because you always had.  It’s better to assume the worst for yourself.  Plan to learn as if you know future is going to be lazy, unmotivated, and unwilling to put the work in.  By committing yourself to putting the work in and setting up your environment in a way that promote success; you’ll prevent failure.

Make it Specific

Why do you want to learn this skill?  Defining your goal will help you save a lot of time and energy every time.  There is a huge difference between the time it takes to become a world-class chef and being able to provide a quality meal for your family.  A great way to define this is by asking yourself, “What is the problem I’m trying to solve by learning this skill?” or “Why is the skill important to me?” Again if you’re learning to play the piano to play at your families next get together, you probably won’t need to put as much as work in as someone that wants to backup Bruno Mars on his next world tour.

Breakdown the Skill

Once you have your skill and you’ve made it as clear as possible, you need to make it even clearer than that.  Many big skills such as public speaking, playing the guitar, or even painting a portrait are just made up of smaller skills.  For example, I’m a blogger; however I don’t just blog.  I have to write, research, network, use social media, understand SEO, master WordPress, understand basic photo-editing skills, and apply basic development skills such as discipline and perseverance.  If you’re someone that wants to become a better blogger, focusing on each piece individually elevates you as a blogger in general.  The trick to doing this however is understanding that you don’t have to do everything.  The 80/20 rule states that 80% of your results come from 20% of the work you do.  So, in the case of the blogger I would put a bigger focus on the 20% of skills that are more crucial to my success.


So you’ve specified the skill, then you broke it down into smaller skills.  What now?  From here, watch three videos online or read three books on the skill.  This will help you figure out what the most crucial skills/concepts are, then DROP THE BOOKS AND START PRACTICING.  You must understand that anything that stops you from deliberately practicing the skill is a distraction, and too much learning can be one of those distractions.  Your brain is muscle and like a muscle it must be worked and trained in order to perform better.  Like a muscle, you must also understand that you can’t get the all the results you want in the short-term. You must put the work in day-by-day and consistently and then you will get the results you are looking for. Money comes easy when you do two things

Simplify and organize. 

Allowing your money to  move beyond you and what you are able to control is a recipe for disaster. While life would be a lot better with a personal accountant who could just do all of that for us, majority of us don’t need that at all.  By knowing what you want to do with your money, with some simple planning and organization you’ll be able to get where you want in no time. Set Goals.  Make a System.  Follow through with your system.  Eventually, I’ll go deeper into this but until then eat, breathe, and sleep this statement. “Set Goals.  Make a System.  Follow through with the system.” Getting rid of the clutter, and clearing the path will make this journey a whole lot easier.
